This US-based fintech company offers payment processing and point-of-sale (POS) solutions, payroll, insurance coverage, gift and reward cards, and other financial tools for small businesses. This success story falls under Prolifics’ Intelligent Process Innovation and Digital Automation & AI offerings. We acquired this client through our Intelligent Automation Workshop.
Challenge
Our client targets small businesses with two main offerings – payment processing / point-of-sale (POS) solutions and payroll processing. For both offerings our client provides equipment and training, as well as a line of credit. Our client ensures that a small business is worth the client’s investment of equipment, time and financial risk through a rigorous onboarding and underwriting process.
Unfortunately, much of this onboarding and underwriting involves intensive manual steps and procedures. The small businesses are sending in applications through our client’s website or as document attachments in emails. Our client needs personnel behind the scenes just to download application packages to place into their homegrown workflow system. Client “on-boarders” processing the applications have been taking a long time to go through the forms, which are often hard to read and are missing pages, which then requires connecting back to the business. The client currently has three on-boarders, who are only able to process about 260 applications in a month. This doesn’t include the time needed for underwriting, which is handled by different personnel. In addition, the client had no real processes or procedure for storing application information in a database – it went in as a “blob.”
Our client is looking to implement an aggressive growth plan, with a target of 1,600 applications a month. However, with the inability to scale the existing staff, this would mean adding about 19 new people. The client looked to us for technological help.
Action
We conducted our Intelligent Automation Workshop with our client. The Workshop pairs client personnel with our automation experts to create a strategy, roadmap and solution that leverages intelligent automation. It will provide continuous process improvement that maps to the client’s business outcomes. Workshop activities include interactive sessions to refine and score opportunities for improvement, validate business drivers and develop an action plan for next steps.

Begins with using Intelligent Document Processing (IDP). IDP is a process that leverages artificial intelligence (AI) to read text and extract the needed information. With infused AI, IDP reads the applications (whether through the website or email attachments) just as a human is able to read them – only faster, cheaper and with a much lower error rate.
Once IDP captures the information from the submitted application, robotic process automation (RPA or “bots”) is used to complete all the manual work that the on-boarders had to deal with. With bots doing much of the work, the underwriters got all the information they needed neatly prepared and packaged for them.
We identified and gave the client options on ways to store the application documents, and how to search those documents for audit and compliance purposes.
We’ve estimated that this quick win program will save them more than $750,000 annually, with a much faster application throughput rate. Hadim notes, though, that a quick win program decision, especially when implementing automation, should not be made in a vacuum – it’s part of an overall, holistic approach that differentiates Prolifics from competitors.
“When you automate, it must be the correct adoption of automation,” said Hadim. “You must make sure you look at your process end-to-end, and then use automation the right way. It’s combining a tactical approach to make a quick win, but also looking at things strategically so that the quick win is not thrown away. Many vendors will automate something that’s not needed – the company should be changing and innovating the larger processes. Automation must be part of your roadmap, part of your enterprise-wide adoption.”

The manual execution of queries in SAP system to retrieve the material ledger proved to be a particularly time-intensive endeavor.

This large freight company provides domestic freight and import/export services in six U.S. states. They became our client based on the successful solutions and services we provided to their sister company throughout a continuing long-term relationship.
This is the fourth installment in a series showing the progressive steps of taking this client from legacy, desktop computers to a modern cloud environment. The three previous success stories are:
1) A Simple First Solution Clears the Road for this Freight Company – We moved six, regionally siloed legacy databases to Azure Cloud, giving the client – for the first time – cloud back-up, central accessibility, and report running with a consistent view across the company.
2) Freight Company Makes Return Trip for Modernization – Prolifics performed a low-cost analysis over six weeks of daily meetings with the client, producing a fixed-price, cloud-based modernization plan. Our extensive report, documenting every single one of the business functions in the old application, showed the client we had a real understanding of their business and how to modernize it.
3) Freight Company Modernization Project Rolls On – While keeping their regional identities, we are consolidating the six locations into a single database in Azure using open-source code and related technologies. One focus here is on the user interface (UI) experience for employee productivity and satisfaction.

Coming out of our client’s legacy systems are six different regional databases. Every time any employee needed to access a database, they had to enter a username and password, and could only get into one system at a time. Throughout the day employees would constantly “log in, log out, log in, log out again” to go from region to region. This made for inefficiencies, wasted time and frustrated employees.
Action
To address these access issues, we started with a user-creation section, where an admin would enter employee information and authorize employee access based upon the employee’s role and the location (referred to as an “instance”). This becomes their “default instance.” An employee may then be given access to other locations based on their role, i.e., roles can change based on location or they might not have access to a particular location. Now, upon signing in just once, the employee is then able to toggle among the locations and related roles that they are authorized for – called “switch instance.”

The company invested in Salesforce and had initially hired engineers specialized in Salesforce testing. However, while one engineer focused solely on Salesforce functional testing, the other exclusively handled Salesforce automation testing. This siloed arrangement was inefficient and did not offer the strong, integrated testing capabilities the company needed. The cost of these services was also high and caused our client to spend a substantial amount of money.

This presentation focused on critical scenarios for automation and performance testing.
To further demonstrate the effectiveness of Quality Fusion, we conducted a Proof of Concept (POC) that specifically addressed our client’s business problem. Leading insurance provider improves security of third-party communications
Our client is a leading multinational property and casualty insurance provider. They have been a client with Prolifics since 2017. This project falls under Prolifics’ Identity & Access Management Modernization offering.

Challenge
Our client relied on customer data and information supplied by third-party vendors that would help our client set competitive insurance rates for those customers. However, over time our client’s legacy applications did not keep up with the latest authentication and security features that the third-party vendors required to connect into their systems. Because of the client’s outdated identity and access management capabilities, they could not access and utilize valuable customer insights for issuing competitive rates – lowering customer satisfaction and losing business.
Having learned about the accomplishments of Prolifics at an event and confident we could help them in a similar way, they sought out our Identity & Access Management Modernization experts for help.
Action
To fix these problems, our client needed to migrate from their legacy authentication systems to modernized authentication systems that met their identity and access management needs. However, an additional challenge was their gap in understanding how the new technology would work and how it would integrate with their applications.
To start, we conducted design workshops with all the client stakeholders present in a single room. We helped the client understand and evaluate the new technology concepts.
Together, we identified the most critical third-party vendor applications as use cases for the new security framework, which we then developed and implemented.
We then implemented our solution for the remaining pieces of the environment.
Results
By modernizing our client’s identity and access management capabilities, we enabled theenhanced security for the sharing of customer information from the vendors. Prolifics has worked with this large, multinational insurance and healthcare company for almost five years. This project falls under Prolifics’ Identity & Access Management Modernization offering.
Our Client
Challenge
Our client needed to migrate away from a legacy access management system that included approximately 150 workforce and consumer-facing applications, all of which were business critical. The legacy system vendor was discontinuing the offering, meaning it would end its regular support for the product and only provide extended support.
Once the vendor discontinued the legacy system offering, our client was concerned that it would not be supported in a timely manner (or at all) for critical updates addressing the latest security vulnerabilities. In addition, extended support was forecasted to cost our client millions of dollars in fees.
Our client wanted to migrate to the vendor’s new offering before the legacy system’s regular support expired and only the extended support was available. The client was working with an existing migration partner, but the client felt it was not progressing well, and they connected with Prolifics.
Action
We continually migrated applications to the new system, going live with no, or very little, downtime. We kept the prior migration partner’s go-live cycle time of six weeks to migrate the targeted applications. However, while the original migration partner went live with two or three applications during the six-week periods, we automated several of the migration tasks. This meant we would go live with 10 to 12 applications per six-week cycle.
Result
With no, or very little, downtime, Prolifics completed the entire migration to the new access management system while the legacy system was still on regular support. This gave the client peace of mind that critical updates would always be in place while also avoiding payment of large extended-support fees. Our automation reduced the entire time of the project, saving the client money.
The client now enjoys the capabilities of the new system, such as advanced authentication mechanisms and other features enhancing their security posture, as well as a better consumer and workforce user experience. In addition, the client reduced their infrastructure footprint. The old deployment required many servers, which Prolifics converted to virtual machines (VMs).

This large shipping company (LSC) provides domestic freight and import/export services in six U.S. states. They became our client based on the successful solutions and services we provided to their sister company throughout a continuing long-term relationship.

Challenge
This is the third installment in the ongoing story of taking this client from legacy, desktop computers to a modern cloud environment.
In our first success story with this client, “A Simple First Solution Clears the Road for this Freight Company,” we described how our client ran a 15-year-old visual basic (VB) application against local databases that were literally sitting on desktop computers in various shipping offices. Our first simple step was to move all of those databases to Azure Cloud, giving the client a number of immediate, important benefits.
In “Freight Company Makes Return Trip for Modernization,” we described how Prolifics performed a low-cost, fixed-price analysis over six weeks of daily meetings with the client. Prolifics produced an extensive report that documented every single one of the business functions in the old application, and provided a fixed-price modernization plan that would move the client to an Azure Cloud-based, web-based application.
In this article, we’ll discuss our progress with the client, and the how and why of the technology we’re implementing to get the client to the cloud.
Action and Technology
While the databases are now in the cloud, there were still six of them, so we are moving to consolidate them into a single database with Azure.
We are using .NET Core – Microsoft’s new version of .NET Framework. This is a free, open-source, general-purpose development platform that runs on Windows, macOS, and Linux operating systems. .NET Core will have longer support compared with the client’s current – but very old – Visual Basic 6 (VB6). Madhukar Chatlapally is a Prolifics Senior Technical Lead working with our client. “VB6 is similar to .NET Core. However, we’re developing based on functionality, so we’re not implementing through the old code. But, if we’re having a difficulty, we may dig into the old code to get the logic behind it.”
We are choosing React for building a better user interface (UI) experience. React is one of the most popular free and open-source, front-end JavaScript libraries. We are using it with TypeScript, a superset of the JavaScript. With React, TypeScript allows the developer to write HTML code directly, for a better developer experience. We’re also using KendoReact, a commercial UI library built for developing business applications. Chatlapally said, “With React, we have more advantages like default grid structures, a component-based architecture, and a DOM model (document object model). With DOM, let’s say you’re doing one change in a small area portion of a page. It will change, but it will impact that HTML portion only. It won’t reload your entire page. This type of speed is an advantage with React.”
As of this writing, Prolifics is in sprint 4 of 8, with a sprint lasting one month. Coming up is some major functionality – order logs and reports.
